Who is responsible

Words by Lia is the professional brand of Lia Bernardete França Soares, the controller of the personal data described in this notice. Portuguese tax number: 217785808. Professional address: Rua Caminho do Reguengo n.º 50, 4980-292 Ponte da Barca, Portugal.

For privacy matters and requests about your data, email lia@wordsbylia.com.

Information you provide

When you contact Lia by email, WhatsApp or LinkedIn, the information received may include your name, contact details, professional or company details and the project information you choose to share. A project brief may cover the service, source language, content, approximate volume and preferred deadline.

Please provide only what is needed to discuss the project. Contact Lia before sending confidential documents or information about other people, so that an appropriate way to share and handle the material can be agreed. If you contact Lia for an organisation, share only the personal data needed for that purpose.

You can contact Lia through the enquiry form or separately by email, WhatsApp or LinkedIn. The contact links open the channel you select; they do not send a message until you choose to send it.

Quote requests through the form

The form asks for name, email, optional company, service, source language, approximate volume, preferred deadline and a message. Lia uses these details to assess the request and reply manually by email. Submission does not establish a price, payment, accepted booking or marketing subscription.

The form processes your details to send the enquiry to lia@wordsbylia.com. New submissions are not retained as form entries in WordPress. This does not mean that your message is not retained: it reaches Lia’s mailbox, and the correspondence, necessary technical records and protected backups are subject to the retention criteria below.

The form’s privacy settings minimise submission metadata, and a honeypot helps reduce spam. IP address, browser and device metadata are not retained as part of form entries. Independent hosting, transmission and security records may still be processed as explained in this notice. Please do not include confidential files or unnecessary data about other people in an initial enquiry.

Why the information is used

Project enquiries are used to assess the work, ask any necessary questions and provide a manual reply or quotation. Where you request steps towards your own contract, processing necessary for those steps or for performing the contract relies on Article 6(1)(b) of the GDPR.

Professional enquiries made on behalf of a business are handled on the basis of the legitimate interest in responding to business communications and managing the professional relationship, under Article 6(1)(f). Information required for applicable invoicing, tax or other legal obligations is processed under Article 6(1)(c).

Technical information is used to operate the website, detect abuse, investigate security incidents and recover the service. The legitimate interests are protecting the website, the correspondence and the people who use the service, under Article 6(1)(f). Security and access records may include IP addresses and technical information about requests where recorded by the hosting or security tools.

An enquiry does not subscribe you to marketing. Lia does not make decisions producing legal or similarly significant effects about you solely by automated processing. A quotation requires human assessment; this website does not calculate or confirm a price automatically.

Providing information for an enquiry is voluntary. Without sufficient contact or project details, Lia may be unable to reply or prepare a useful proposal. Information required by law will be identified when it is needed.

Optional audience measurement relies on your prior consent under Article 6(1)(a) of the GDPR. Refusing or withdrawing statistics consent does not prevent a quote request or contact with Lia.

Providers and recipients

OVHcloud supplies the website hosting and the MXPLAN email service. The verified website hosting location is France, in the European Union. Necessary technical providers for hosting, communications, security and backup maintenance may process information to supply those services. Authorised access is limited to what is needed for the relevant task.

The website security tools include Wordfence, supplied by Defiant, and Really Simple Security. Security providers may process technical data in connection with protection and abuse detection. Depending on the provider and function, processing may involve countries outside the European Economic Area. Wordfence provides information about its processing and international transfer arrangements at https://www.wordfence.com/help/general-data-protection-regulation/. Contact Lia for information about the arrangements applicable to your data; this notice does not claim that all providers process data exclusively in the EU.

Information may also be disclosed to public authorities or professional advisers when required by law or necessary to establish, exercise or defend a legal claim. The service does not sell your personal data.

WhatsApp and LinkedIn are external services that you can choose to use. Their own privacy information explains their processing, recipients and international data arrangements. Website hosting in the EU does not mean that every external service processes all data exclusively in the EU. Contact Lia by email if you prefer not to use those channels.

How long information is kept

Enquiry correspondence is kept while the request is being assessed, answered or followed up, taking account of whether a proposal remains open and whether the information is needed for the relationship. If the enquiry becomes a project, the necessary records are kept for performance of the agreement and the applicable legal obligations.

Invoices and records that must be retained by law are kept for the applicable statutory period. Information needed for a dispute or legal claim is kept for the period necessary for that purpose. Retention is assessed by purpose and necessity; an enquiry is not kept indefinitely merely because it was received.

Technical security records are retained according to the need to detect and investigate incidents. Protected backups may contain copies of data until those backups are deleted; they are used for recovery rather than ordinary management of enquiries. A request about deletion will also be assessed in relation to these copies and any legal retention duties.

Optional audience measurement

With your consent to statistics, Google Analytics 4 is used to understand visits to the pages and improve the website. Google measurement scripts and requests are blocked until that consent. You can refuse statistics or change the choice through the cookie preferences control.

The configuration uses standard measurement of page visits and sessions. Enhanced interaction measurement, including form interactions, is disabled. The data can include pseudonymous browser identifiers, page and session information, broad geographical information and basic device or browser information. This is not described as anonymous merely because the reports are aggregated.

Google signals, advertising personalisation and granular city and device data collection are disabled. Form contents, names, email addresses, phone numbers and confidential project information are excluded from Analytics events and URLs. Email and specified query-parameter redaction provide an additional safeguard, rather than a guarantee that any text can safely be sent.

User and event data retention is set to 14 months. New activity renews the user identifier’s retention period, so its retention can extend beyond 14 months from the first visit. This setting does not determine the duration of standard aggregated reports.

Google Analytics is a Google service. Google’s Analytics terms for the European Economic Area identify Google Ireland Limited as the service provider. Measurement processing is subject to the applicable Google Analytics data processing terms. Google’s privacy information is available at https://policies.google.com/privacy.

Google uses international infrastructure, so measurement data may be processed outside the European Economic Area, including in the United States. The website’s hosting in France does not determine the location of Google Analytics processing.

Google’s published transfer information describes the EU–US Data Privacy Framework for covered transfers to certified Google entities in the United States and standard contractual clauses where applicable. The mechanisms and how to obtain information about safeguards are explained at https://policies.google.com/privacy/frameworks. You can also contact lia@wordsbylia.com about the arrangements applicable to your data.

Withdrawal stops future optional measurement; it does not itself erase information already collected. Contact Lia about information already held or to exercise your data rights.

Your rights and how to exercise them

You can contact lia@wordsbylia.com to request access to your personal data, correction, erasure or restriction, and to object to processing based on legitimate interests, subject to the conditions and exceptions in the GDPR. Data portability applies to data you provided where the processing is automated and based on consent or a contract. If a specific processing operation relies on consent, you can withdraw it without affecting the lawfulness of earlier processing.

Identify the request and the relationship with Words by Lia. Additional information to confirm identity is requested only where necessary. Requests are normally free and receive a reply within one month; a necessary extension of up to two further months will be explained within the initial month. Legal exceptions, obligations and the rights of others may affect the outcome of a request.

You may complain to the Portuguese supervisory authority, the Comissão Nacional de Proteção de Dados (CNPD), at https://www.cnpd.pt/. This does not prevent you from using another competent supervisory authority or a judicial remedy.

Cookies, changes and contact

The cookie policy describes the technologies used and your choices. Audience measurement is optional and separate from submitting a quote request. New purposes or material changes will be explained before the relevant processing starts.
